Balla CRD is a non-profit making community development organisation focused on improving the quality- of-life for all in Balla. Our mission is to run a successful social enterprise, satisfy identified needs and help the more disadvantaged in our community. Our vision is of a diverse, vibrant community who see Balla CRD as the first port of call, providing an independent local resource in making the greatest positive impact on the people in our community. Our role in the neighbourhood is to lead economic development and community engagement efforts with other community groups, businesses, and appropriate agencies.
General Description of the Position:

This is an opportunity for you to join our team in an exciting role. The role includes reception duties; data management, filing and archiving, liaising with internal and external services, updating and maintain IT management system, word processing and preparing presentations. It also includes updating social media, providing administrative support to the Manager, Staff, Management Committee and Board of Directors. Other duties include day to day correspondence, post, lodgements, typing, photocopying, filing, inputting, updating and checking finance and computer records, payment of suppliers, data protection and general record keeping.
Location: Balla Community Resource Centre
Working Hours: 19.5 hours per week – flexibly, may be required to be on the job very early and may work late hours or on shift systems.

Key Responsibilities:

Office Management
-
Provide administrative support and help in relation to Events/Finance/HR/Office Administration as and when needed to service users, manager, staff and committee and board members

Ensure the office is equipped and functioning to support Staff, Committee, Board Members, Service Users, Visitors and the Public
-
Ensure all internal facilities and resources are planned and ready for service users as required.

Communicate & liaise with manager, staff, management committee and Board Members to ensure seamless administration operation
-
Assist with ordering of new suppliers ensuring all staff have the necessary resources required to perform their duties efficiently and effectively.

Regular texts to the Board and Bingo Teams

Weekly submissions to Newsletter and local papers

Weekly notices to Midwest Radio & manage bookings and diary for the various spaces available.

Update website and social media.

Help organise events
-
Finance
-
Maintain financial records as set out in Balla CRD Financial Procedures

Credit Union Lodgements as required
-
Invoicing & issuing receipts
-
General Bookkeeping
-
HR / Health and Safety
-
Maintain and update relevant files in line with Data Protection Policy

Record and assist with staff /stakeholder queries and with any health and safety or other legislative issues

Maintain excellent customer service when dealing with centre users, visitors and

Proven administrative experience

Demonstrated experience of working in an office or reception environment .

Office or Business skills certification.
